Patron Privacy Policy

It is the policy of the Manistee County Library to preserve the privacy of all patron records

It is the policy of the Manistee County Library to preserve the privacy of all patron records. All unnecessary library records will be destroyed (shredded) in a timely fashion and includes, but is not limited to:

1. Computer usage sign-up sheets;
2. Summer Reading Programs sign-up sheets;
3. Job applications;
4. Interlibrary Loan cards and requests;
5. Outdated patron registration cards;
6. Any papers that contain any patron’s name, phone number, email address, or address.


Softlink, the patron and circulation database used by the Manistee County Library, currently
retains the most recent history of previously checked out materials, and who had/has what
checked out.

Interlibrary Loan (ILL) cards are kept for one year.

Summer Ready Program sign-up sheets should be shredded within one week after the
program ends.

Job applications will be kept on file for one (1) year. Those applications from individuals
who were interviewed, but not hired, will be kept on file for two (2) years.

Any part of a printed notice which is not mailed to a patron is to be shredded immediately.

Computer use sign-up sheets are shredded as soon as the statistics for the previous month are
compiled.

Patrons who have not checked out materials for three (3) years are deleted from the patron
data base, but patrons who have not checked out materials in three (3) years but owe more
than fifty ($50.00) dollars in extended use fees or lost/damaged book charges are retained in
the data base for five (5) years. Exceptions may be made at the discretion of Library
Administration.

Patron registration card files will be weeded in accordance with the patron records retained in
the patron data base.
